Top Workday Essentials Every Grant Writer Needs

volunteers locking arms

I know firsthand the juggling act that grant writing can be. Deadlines feel like they're constantly looming; crafting a winning narrative requires creativity and focus, and let's face it, staying fueled for the long haul is crucial. But over the years, I've discovered some amazing tools and tricks that have transformed my workday.

These are the products of late nights fueled by caffeine, brainstorming sessions fueled by colorful pens, and a real desire to find ways to stay focused, energized, and even stylish while conquering grant proposals. So, gather around! I'm sharing my favorite things and how you can grab them yourself!

Paper Planner

Even in the digital age, this old-school grant writer can't resist the tactile satisfaction of a paper planner! While I love my digital calendar (thanks, Google!), there's something about writing out deadlines and tasks that keeps me feeling focused and inspired.

This planner is my go-to. It boasts a range of colors (and stickers!), with weekly and monthly views to complement my digital schedule. Plus, it offers space for bullet journaling and goal setting, keeping me organized and motivated throughout the grant cycle. The convenient size makes it my perfect on-the-go companion!

Pens

No planner is complete without the perfect pen! Paper Mate InkJoy pens are my absolute favorite. The vibrant colors are amazing for color-coding my planner, keeping everything organized at a glance. Plus, they write smoothly and last a long time, which is a must for all those grant proposal notes!

Coffee

Confession time: this grant writer runs on coffee! My day usually starts with hot coffee, transitions to iced later, and might involve some sneaky water breaks in between. When I can't make it to my favorite coffee shop, Starbucks K-Cups in my Ninja brewer are my lifesaver. They're quick, convenient, and deliver that familiar Starbucks taste to keep me fueled throughout the grant writing marathon!

Coffee Maker

My Ninja DualBrew Pro is a lifesaver. It lets me switch from hot coffee to perfectly brewed iced coffee with its special "over ice" setting. Feeling fancy? The built-in frother whips up delicious lattes in a snap. And, for those inevitable grant deadline all-nighters, the carafe option keeps the coffee flowing all night long!

Sok-It & JavaSoks

Living in Georgia, giant iced coffees can turn into watery messes fast! The solution? JavaSok by Sok-It! These colorful coolie sleeves are lifesavers. They fit most to-go cups, keeping my iced coffee cold for hours – no more condensation disasters! Plus, they come in fun patterns like the wizard-themed Horcrux or the Play Ball design. My husband even uses their can cozies, and they offer hot beverage sleeves too!

Earbuds

I streamlined my schedule by dedicating Tuesdays to Zoom calls. Great for organization, but tough on the ears after hours of talking! This Christmas, I treated myself to Google Pixel Bud Pro earbuds, and let me tell you, they're a lifesaver. All-day comfort lets me wear them for marathons, while the noise cancellation blocks out the joyful chaos of my three little boys playing nearby. Crystal-clear audio keeps my calls professional, and my clients rave about the sound quality. Zoom marathons are a breeze now!

Grant writing can mean serious desk time. While our subscriptions help you save time and raise more money, those hours sitting can add up! To combat back pain, I recently started using a standing desk converter – a game-changer! It sits on my existing desk and adjusts to my perfect height. After just a few days, I feel a huge difference. Standing for meetings is a win-win for my health and productivity!
